Position Summary:

The Tourism and Event Coordinator is responsible for planning, promoting, and executing events and tourism-related initiatives that enhance the visibility and engagement of the Camrose & District Chamber of Commerce. This role requires creativity, exceptional organizational skills, and a passion for fostering community connections.

Key Responsibilities:

Event Coordination:

  • Plan with the appropriate committees, organize, and execute Chamber events such as the Kickin’ Country Parade, Business Excellence Awards, and other signature events that boost the ability to network with the member businesses, organizations and community.
  • Help committees develop event timelines, budgets, and promotional strategies to ensure successful execution.
  • Work collaboratively with volunteers, vendors, and sponsors to secure partnerships and support.
  • Assist the committees in coordinating logistics, including venue selection, permits, equipment rentals, and on-site management.

Tourism Development:

  • Promote Camrose as a destination for tourism by coordinating campaigns and developing marketing materials.
  • Collaborate with member businesses/organizations and attractions to create tourism packages and itineraries.
  • Maintain up-to-date knowledge of local and regional tourism trends to inform strategies, and maximize exposure for member businesses and organizations, as well as what grants may be available to offset costs for these programs, opportunities, and events.
  • Conduct research, gather and analyze data, and identify the ever-changing needs of our target market.
  • Ongoing evaluation of the effectiveness of current tourism offerings, making recommendations for improvements, and identifying areas where new tourism products or Chamber market items, services, and/or experiences are needed to meet the diverse demographics and their needs. Ensuring inclusivity of all demographics and balance to meet their diverse needs.
  • Establish and maintain positive working relationships with all segments of the region’s industrial and commercial sector in the promotion of the region being a great place to visit, live, and work.

Community Engagement:

  • Act as a liaison between the Chamber, local businesses, and community groups to strengthen partnerships.
  • Assess the tourism and leisure requirements of residents of the region, visitors to the region, and the tourism operators and businesses that may suit and fulfill these needs.
  • Recruit, train, and manage volunteers for events and initiatives.
  • Represent the Chamber at tourism-related meetings, trade shows, and events. Creating the overview of what our members have to offer, and why they need to visit or patronize these businesses and organizations. Advocating for the needs of our members in all areas of the region.

Marketing and Communication:

  • Develop and manage promotional materials, social media content, and email campaigns to increase event attendance and tourism visibility.
  • Publish information and promotional literature for the region, being inclusive of all membership and addressing the diversity of the region for the diverse and inclusive needs of all that may acquire it.
  • Maintain the Chamber’s website and ensure tourism-related content is current and engaging.
  • Monitor and analyze the success of events and marketing campaigns, providing regular reports to the Executive Director.
  • Assist the Executive Director in acting as a spokesperson to the media for member-related updates and releases.
  • Oversee and/or prepare press releases and participate in media interviews regarding tourism and business openings, promoting membership benefits to new and existing businesses and organizations.
  • Attend trade shows as a participant and an observer. As a participant set up displays to promote our members in the region, coordinate and share activities and events, and schedule volunteers and summer staff to help promote the region. As an observer, compile information relevant to economic development in the region to take forward for advocacy and improvements in the region and for our members.

Administrative Duties:

  • Prepare event and tourism-related reports, including budget forecasts and post-event evaluations.
  • Assist in identifying and applying for grants to support tourism and event initiatives.
  • Manage the inventory of promotional materials, event supplies, and other resources.
  • Assist visitors to the Visitors Information Center with their needs and desires, keeping in mind to promote the area and its offerings, and also promoting the member businesses and organizations, and what they have to offer. Directing them to the resources and services they need or should visit while in the area.
  • Frontline greeting of business owners, organization representatives, city officials, and visitors as they enter the Vistors Information Center.
  • Maintaining the ambiance of the Visitors Information Center, and keeping it neat and orderly, as well as up-to-date and relevant.
  • Greeting and directing rental guests to the board room or area of the meeting they are at the Camrose & District Chamber of Commerce office and managing the rental calendar for the meeting room and spaces.
  • Assist with managing inventory, and scheduling maintenance of the tourism area and meeting rooms.
  • Ensure quality merchandise and inventory are properly stocked and maintained appealingly and cleanly for sale and promotion, as well as maintain all health and safety regulations and requirements.
  • Develop tour scripts if necessary.
  • Ensure all inventory is properly cataloged and in the POS system with proper pricing and inventory levels.
  • Ensure good working relationships with all vendors and exhibitors, as well as renters of the facility.
  • Maintain quality records on visitor stats, tourism offerings, products, services experiences, events, and more, for use in future planning and annual evaluations.
  • Consult with new member businesses and organizations regarding business plans and marketing needs. Help promote their businesses and organizations, and opportunities.
  • Assist entrepreneurs and organizations in developing their projects by directing them to necessary resources.
  • Develop relationships with area businesses through various projects.
  • Develop a detailed regional profile and other demographic information to promote the members of the region.
  • Identify the diverse needs of the region and help to develop an appropriate action plan.
  • Actively pursue new membership and businesses and organizations leads in the region.
  • Become familiar with and promote available government programs which assist with the economic development of the region, that are of benefit to our members.
  • Attend meetings with the Executive Director that may be relevant to the economic and tourism development of our region. 
  • Perform the administration and reconciliation of cash receipts, purchase orders, and inventories of the products, services, and experiences.
  • Compile statistics into an easily accessible form for use in consultation and reporting.
  • Maintain inventory of quality promotional materials as deemed necessary.
  • Provide weekly reports to the Executive Director regarding accomplishments in your area as designated by the budget and overall plan for the region.

Qualifications and Skills:

  • Education: Post-secondary education in Event Management, Tourism, Marketing, Communications, or a related field (or equivalent experience).
  • Experience: Minimum 2 years of experience in event coordination, tourism development, or a similar role.
  • Valid Class 5 Driver’s License
  • Criminal Record Check
  • Clean Driving Abstract
  • Standard First/Aid and CPR Certificate is an asset
  • English/French bilingualism is an asset
  • Conflict and crisis management courses are an asset

Skills:

  • Strong organizational and multitasking abilities.
  • Excellent verbal and written communication skills, including the ability to listen actively, respond verbally in a manner that is clear and respectful, as well as prepare written communications that are clear, understandable, inviting, and concise.
  • Proficiency in social media management and marketing platforms.
  • Budget management and financial planning skills.
  • Teamwork and relationship-building skills including the ability to establish and maintain effective working relationships with peers, subordinates, council members, board members, membership, government officials, residents, visitors, contractors/suppliers/vendors, business representatives, and other stakeholders.
  • Knowledge of any relevant municipal, provincial, and federal policies and procedures, regulations, and bylaws, as well as that of the Camrose & District Chamber of Commerce in their entirety.
